As part of our work with South Norfolk Council, we created an online application for booking places on the Swim School courses that are held at the Council's Leisure Centres. Prior to our work, the rebooking took place at the Leisure Centres themselves, which involved people queueing from 6am, and having extra staff in place for the relevant time periods.

Prior to our work, the entire process had been done on paper for some 1,300 pupils in around 300 lessons per week over two locations, both of which have two pools.

In a very short timescale (two weeks from start to launch) we created an application where each pupil had a unique identifier, and used a MySQL database to hold details of all pupils and available classes. The Swim Schools provided information about whether each pupil would stay in the same course for the next term, or would be moving up to the next level, and this data was used in the application to handle which courses were available for each Swim School pupil to register on.

In addition, the application handled pupils who were staying at the same level, but wanted to move course, and all the other aspects of the rebooking process. For credit-card processing, the system made use of Capita's Payment Portal

Overall, the online booking system took 80% of the bookings for the January 2009 term, allowing the Swim School Leisure Centres to manage the remainder of the bookings without the need for extra staffing, or long queues on the booking days.

We're now working on an updated version of the Swim School application for the March/April 2009 booking period, taking lessons learned from Version One, and adding in extra sections for further administration tasks, as well as on-line marking of pupils by the teachers.
